Employee Apps and Electronic Attendance Privacy

This section applies to Kholood employee applications and the electronic attendance, device registration, and asset custody services. It supplements the privacy policy above.

Data we may process in the app

• Account and employment data, such as user or employee ID, name, assigned project or worksite, and account permissions.
• Device and app data, such as the device-registration identifier, device type, operating system, app version, IP address, and technical tokens needed for sign-in, notifications, and abuse prevention.
• Attendance data, such as the date and time, assigned project or site, result and status, attempt history, and technical evidence needed for verification and audit.
• Location data needed for attendance and reminders: precise location when an attendance action starts, and the device's entry into or exit from an approved worksite region when background location permission is enabled. Attendance records include coordinates, reported accuracy, and fix time.
• Crash, diagnostic, and performance data needed to identify errors and improve app stability.

Location and attendance within a worksite

The app requests a precise location fix when the attendance flow is opened or attendance registration begins. That attendance reading is sent to our servers to determine whether the employee is within an approved worksite geofence. An approximate fix may be insufficient, so the app displays its accuracy and asks the user to improve it when needed. To prevent attendance reminders away from work, the app may, after you grant Always Allow or background-location permission, use the operating system's low-power region-monitoring service. The app keeps the entered-or-exited state of approved worksite regions on the device. It does not run continuous GPS tracking, create a history of your route or movements, or send periodic background location fixes to our servers. You may withdraw the permission in device settings; location-aware reminders will then stop, while manual attendance remains available when while-in-use location permission is granted.

Face ID, fingerprint, and local authentication

Face ID or fingerprint matching is performed by the device operating system. Kholood does not receive a facial image or fingerprint template, and biometric data is not sent to our servers. The app receives only the success or failure result, then uses device-bound cryptographic keys and evidence to authorize the action. We may use device-integrity services, such as Apple App Attest or the Android equivalent, to verify that a request comes from a trusted, unmodified app instance.

Notifications and attendance reminders

The app may store a device notification token to deliver attendance reminders and operational or security notices. During the configured working-hours window, the server sends a silent trigger and the app checks locally that the device is within an approved worksite region and that today's attendance has not already been recorded before displaying a reminder. The reminder therefore is not intended to appear away from work. Tapping it opens the attendance flow; it does not automatically record attendance or bypass local face or fingerprint verification and precise-location checks. You can manage notifications and location permissions in your operating-system settings, although disabling either may prevent location-aware reminders.

Camera, codes, and files

The camera is used only when the user chooses to scan an asset QR code or capture or select an image or document for a feature that requires it. The app does not continuously record video, and QR preview frames are not retained. We retain only content the user chooses to submit for the relevant operational purpose.

Purposes of processing

• Provide employee services and verify daily attendance against the assigned project or worksite.
• Display attendance reminders during working hours only when the operating system determines that the device is within an approved worksite region.
• Register devices and prevent impersonation, fraud, replayed requests, or use of an untrusted app build.
• Maintain auditable operational records, resolve complaints and errors, and comply with applicable legal, contractual, and workplace-policy obligations.
• Deliver necessary notices, support users, and improve security, stability, and performance.

Technical service providers

We may use trusted technical services only as needed to operate the app. These include Firebase Cloud Messaging for notifications, Firebase Crashlytics for crash and diagnostic processing, and Apple or Google services for app and device integrity verification. These providers may process limited technical data under their contracts, privacy terms, and applicable safeguards. Processing may occur outside Saudi Arabia where necessary and subject to applicable legal requirements.

Sharing, retention, and security

We do not sell employee data or use attendance or location data for advertising or advertising tracking. Access is limited to authorized people and systems with a work-related need, and data may be disclosed to a competent authority where legally required. We retain data only as long as needed for operational, legal, or record-evidence purposes, then delete or de-identify it when no longer required under approved retention schedules. We use access controls, encrypted connections, digital signatures, audit logs, and device revocation to reduce unauthorized access.

Your choices and rights

You can review or withdraw while-in-use location, background location, camera, and notification permissions in your device settings. Refusing background location stops reminders that depend on detecting your presence at a worksite, while refusing precise while-in-use location may prevent attendance registration. You may request access or correction, ask how your data is used, or submit a complaint at [email protected], subject to records that must be retained under employment or other applicable laws or to protect legal rights.
